Salary Range: $125,000 – $155,000
Company Overview Hendershott Wealth Management is a female-run, client-centric wealth management firm committed to providing tailored financial guidance in a compassionate environment. Our team operates from 4 different time zones, fully virtually. Our primary nexus of clientele live in California, so we operate on Pacific time zone hours. We value direct communication,  collaboration, proactive honesty and integrity, accountability and the consistent delivery of high-quality service to our clients. We are seeking an experienced and proactive Chief of Staff who will function as a critical strategic partner, marketing project manager, and operations leader to drive our mission forward.
Position Summary The Chief of Staff will serve as a strategic advisor and extension of HWM’s owner, collaborating directly with high level employees and taking ownership of high-impact marketing initiatives. This role is both strategic and hands-on, combining marketing and operational expertise to drive high-impact initiatives and foster a culture of connection and empowerment. The ideal candidate will bring a blend of project management skills, marketing acumen, tech prowess and client-centered intuition to help us create an environment where clients feel optimistic, confident, and at peace with their financial future.
Key Responsibilities Marketing and Content Oversight
  • Ensure all website content is current, compliant, accurate, and beautiful.
  • Oversee podcast production, ensuring on-time publication, consistent tracking, compliance, and relationship management with producers.
  • Manage HWM’s social media presence, ensuring on-brand, relevant content and reviewing posts for compliance approval.
  • Coordinate the production and distribution of marketing emails, tracking performance and compliance.
  • Support article development by reviewing drafts and overseeing the publication process.
Client Engagement and Management
  • Effectively communicate the firm’s value to prospective clients on the phone
  • Cross trained on certain Prospecting processes to serve as back-up to the advisor team 
  • Oversee and optimize the client birthday gifting program
  • Manage communication and logistics for occasional client events and ensure smooth execution.
  • Coordinate, design, and distribute client emails in Active Campaign
Team Operations & Support
  • Act as an operational and cultural liaison for team members, addressing questions, needs, or support requests.
  • Assist in recruiting efforts, managing job postings, and serving as a culture barometer in candidate evaluations.
  • Support onboarding processes, including tech setup, offer letters, and training on platforms (Google Drive, Zoom, Acuity, etc.).
  • Coordinate team calendars and ensure accurate settings and availability through Acuity.
  • Update and maintain company materials annually.
Executive Support for CEO
  • Ensure Virtual Assistant keeps CEO’s calendar accurate and up-to-date.
  • Serve as a backup for time-sensitive scheduling needs, client appointments, and communications.
  • Organize and coordinate logistics for annual team events, including travel and accommodation arrangements.
Vendor and Partner Management
  • Act as the point of contact for HWM’s third-party vendors, including virtual assistants, marketing teams, podcast producers, website technicians, and IT support
  • Manage relationships and oversee billing
Event & Speaking Engagement Coordination
  • Assist Hilary with planning and managing logistics for speaking engagements, both virtual and in-person
  • Track content, organize presentation materials, and ensure all assets are compliant and uploaded

Qualifications
  • Proven experience in a Chief of Staff, senior operations, or strategic project management role, ideally within a professional services or client-focused environment
  • Strong project management skills with a demonstrated ability to oversee multiple high-impact initiatives
  • Exceptional communication skills and the ability to act as a strategic advisor to senior leadership
  • Fluent in key operational platforms such as Active Campaign, WordPress, Google Admin Console, Canva, and social media management tools
  • Highly organized, detail-oriented, and comfortable working in a fast-paced, remote environment
  • Willingness to work and generally be available from 9am to 5pm Pacific Time is required
  • Willingness to make 3-4 day trips up to twice per year for in-person planning events
